This Privacy Policy explains how Echelon Heritage Group collects, uses, protects, and shares information in connection with its website and virtual multi-family office services.
Overview
Echelon Heritage Group (“Echelon,” “we,” “us,” or “our”) is a virtual multi-family office platform offering coordinated services related to tax optimization, advanced retirement planning, investment advisory coordination, and estate and trust development. This Privacy Policy applies to information collected through our website, email communications, intake process, discovery calls, client onboarding, and related service interactions.
If Echelon or an affiliated advisory entity becomes registered with the U.S. Securities and Exchange Commission or one or more state securities authorities, additional privacy notices, Regulation S-P notices, Form ADV disclosures, custodial notices, or client agreement provisions may apply. In the event of a conflict between this Privacy Policy and a specific client agreement or regulatory notice, the more specific document will govern.
Information we collect
We may collect identifiers and contact information such as name, email address, phone number, mailing address, business affiliation, and preferred communication method. We may also collect information voluntarily provided during discovery, planning, onboarding, or service coordination, including family office objectives, entity information, financial profile data, tax planning context, retirement plan details, estate planning goals, trust administration needs, and advisor contact information.
Where relevant to a prospective or active client relationship, we may collect sensitive financial information, tax-related information, investment objectives, risk tolerance, liquidity needs, beneficiary information, trust or estate documentation, retirement account information, insurance information, and other details necessary to evaluate, coordinate, or support requested services.
Our website may collect limited technical information such as device type, browser type, IP address, referring page, pages viewed, date and time of visit, and similar analytics data. If analytics, CRM, scheduling, email marketing, or secure intake tools are later added, this policy should be updated to identify the categories of vendors and processing activities.
How we use information
We use personal information to respond to inquiries, schedule discovery calls, evaluate whether our services may be appropriate, coordinate requested planning work, maintain business records, support compliance and supervision, communicate with clients and prospective clients, improve our website and services, and meet legal, regulatory, accounting, and contractual obligations.
We may also use information to coordinate with a client’s tax, legal, accounting, investment, insurance, retirement plan, trust, custodial, banking, or other professional advisors at the client’s direction or with appropriate authorization. Echelon does not use sensitive client information for unrelated marketing or sell client personal information for monetary consideration.
How information is shared
We may share information with service providers who support our business operations, including secure technology providers, email systems, cloud storage, CRM platforms, scheduling tools, compliance consultants, legal counsel, accounting professionals, cybersecurity vendors, and other administrative vendors. These providers are expected to use information only for authorized purposes and maintain appropriate confidentiality and security safeguards.
We may share information with a client’s designated professional advisors, custodians, trustees, administrators, insurance professionals, tax preparers, attorneys, retirement plan providers, or other parties when reasonably necessary to provide services or when directed by the client. We may also disclose information where required by law, regulation, subpoena, examination, audit, legal process, or to protect our rights, clients, personnel, systems, or business operations.
Security and retention
We use administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction. No website, email system, or electronic transmission is completely secure, and clients should avoid sending highly sensitive documents by unencrypted email unless specifically instructed through a secure process.
We retain information for as long as reasonably necessary to provide services, maintain records, comply with legal or regulatory obligations, resolve disputes, enforce agreements, support audits or examinations, and preserve legitimate business records. Retention periods may vary based on the type of information, relationship status, applicable law, and regulatory requirements.
Privacy rights
Depending on your state of residence and applicable law, you may have rights to request access, correction, deletion, portability, limitation, or information about certain uses or disclosures of personal information. These rights may be subject to exceptions for regulated financial records, legal obligations, security needs, litigation holds, confidential information, and professional privilege.
Residents of California, Colorado, Connecticut, Virginia, Utah, and other states with comprehensive privacy laws may have additional rights if those laws apply to Echelon’s operations. Echelon does not currently state that it sells personal information or shares personal information for cross-context behavioral advertising; if that changes, this policy should be updated before implementation.
Children’s privacy
Our website and services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children through this website. Family office or estate planning matters may involve beneficiary information, but such information should be provided only by authorized adults and handled within the applicable professional relationship.
Changes to this policy
We may update this Privacy Policy from time to time. The updated version will be identified by an updated effective date. Material changes should be reviewed by counsel and, where required, communicated to affected clients or prospective clients.
